Common Archival Heritage Database
The Common Archival Heritage database, which is continually updated, is the main element of the Program.
Structure. The database will include data pertaining to materials of the common archival heritage. The ISAD(G) standard will be used for the archival description.
At the first stage of the database development, it was assumed that the description should include basic description elements as included in ISAD(G):
3.1.1 - the country code in accordance with ISO 3166 Codes for the representation of names of countries. The Alfa-2 code was selected for the purposes of the Program.
- the repository code in accordance with the national standard
- specific local reference code, control number or other unique identifier
3.1.2 - title of the unit of description
3.1.3 - date(s)
3.1.4 - level of description
3.1.5 - extent and medium of the unit of description
3.3.1 - scope and contents. For the needs of the Common Archival Heritage database, item 3. 3. 1 will be modified: it will include a list of names of countries (represented by codes in accordance with ISO 3166), referred to in materials of the unit (fond) being described
3.4.3 - language of materials
The English language will be the language of the database interface, with the exception of names (of fonds or description units), which are to be entered in the original. Other data is standardized in compliance with ISO standards.
Technology. The Open Society Archives will provide a properly modified database of archive holdings of the OSA for the needs of the Program. This database is based on the Microsoft Access application.
It was agreed that the Steering Committee will undertake appropriate efforts to extend the Program to cover materials of the Council of Mutual Economic Assistance and the Warsaw Treaty, preserved at the Russian Archives.
